How do you accept payments?

For residential services:

Terms and conditions
Section 1: Scope of Services and Booking Framework
1.1 Engagement Agreement
By scheduling, requesting, or accepting residential or commercial cleaning services from
Dirt Docs Corporation — whether via electronic web portal, telephone booking, written proposal, or signed
service contract—the client agrees to be bound by these Terms and
Conditions. These Terms govern all service engagements executed by Dirt Docs Corportation across
residential residences, multi-family units, retail stores, and commercial office spaces.
1.2 Administrative Office Hours and Operational Schedules
We maintain administrative office hours from 8:00 AM to 8:00 PM EST, Monday
through Friday. Sat, Sun 10am-8pm Operational cleaning shifts are flexible and scheduled according to the specific
service contract or residential booking confirmation. Administrative inquiries, scheduling
modifications, and emergency notifications outside standard office hours must be submitted
directly to the designated account manager.
1.3 Service Scope and Operational Boundaries
The scope of work is strictly defined by the service package, checklist, or Statement of Work
agreed upon during booking.
● Standard Residential Services: Encompasses surface dusting, floor vacuuming and
mopping, trash disposal, kitchen exterior appliance cleaning, and bathroom sanitization.
● Commercial Janitorial Services: Encompasses common area sanitation, office trash
and recycling removal, restroom disinfection, floor maintenance, desk wiping, and lobby
maintenance as detailed in the commercial scope schedule.
● Explicit Scope Exclusions: Company staff will not perform biohazardous waste
remediation, human or animal waste cleanup, heavy lifting of items exceeding 25 pounds,
exterior window cleaning above ground level, or deep cleaning of areas requiring ladders
higher than a standard two-step stool. Staff are prohibited from servicing properties with
active insect or rodent infestations, exposed high-voltage wiring, or severe structural
hazards.
1.4 Initial Quotes and Condition-Based Adjustments
All preliminary quotes provided by phone, email, or online booking software represent
non-binding estimates based on information supplied by the Client. Upon physical site arrival, if
the property condition requires significantly more effort, time, or specialized supplies than
originally represented—due to heavy soilage, post-construction residue, or extreme clutter—the
Company reserves the right to adjust the final price, convert the service to an hourly rate, or
amend the achievable scope.
1.5 Equal Opportunity and Workforce Non-Discrimination Policy
The Company operates as an Equal Opportunity Employer and enforces strict
non-discrimination policies. Staff assignments are made without regard to race, color, national
origin, religion, sex, age, disability, citizenship status, or sexual orientation. The Company will
not honor Client requests to assign, replace, or exclude specific cleaning staff based on
protected demographic categories.
Section 2: Financial Terms, Pre-Authorization Holds, and Taxation
2.1 Pricing Models and Service Minimums
Services are billed on either a Flat-Rate or Hourly basis, as specified in the service agreement.
● Flat-Rate Billing: Typically applied to standard residential properties under 1,000 square
feet with predictable scopes.
● Hourly Billing: Applied to commercial spaces, move-in/move-out cleanings,
post-construction jobs, and custom residential requests. Hourly services carry a
mandatory two (2) hour service minimum per assigned technician. If a cleaning takes less
than two hours, the Client remains responsible for the full two-hour minimum fee. Time
exceeding the initial booking is billed in thirty (30) minute increments.
2.2 Payment Methods and Tax Billing
Accepted payment methods include major credit cards, debit cards, electronic bank transfers
(ACH), automated PayPal processing, and cash. All listed rates exclude applicable New
York State, county, municipal, and transit district sales taxes, which are calculated based on the
destination address and added to the final invoice.
2.3 Payment Pre-Authorization Hold Protocol
For credit or debit card payments, the Company initiates a temporary pre-authorization hold on
the Client’s payment card forty-eight (48) hours prior to the scheduled service appointment. This
pre-authorization hold verifies fund availability for the full estimate but does not constitute a
settled charge. Final payment processing occurs after service completion.
2.4 Same-Day and Expedited Booking Fees
Requests for service booked and rendered on the same calendar day, as well as requests
submitted after 3:00 PM EST for next-day execution, are subject to a mandatory Same-Day
Service Surcharge.
Section 3: Site Access, Property Security, and Health Rules
3.1 Facility and Home Access Mechanisms
Client presence on-site during service execution is not required. The Client must provide
functional property access prior to the appointment date via physical keys, building doorman
authorization, electronic fob tokens, or keyless lockbox access codes.
3.2 Lockbox, Key Distance, and Doorman Instructions
● Building Doorman Security: In doorman-attended facilities, the Client must grant formal
building access approval for the Company’s cleaning personnel prior to arrival.
● Lockbox Accessibility: Physical keys or key lockboxes must be located within a
two-minute walking radius of the main property entrance. Clear, accurate entry codes
must be submitted to the Company in advance.
3.3 Communicable Disease and Health Safety Protocol
To safeguard workforce health, Clients must immediately notify the Company and reschedule
services if any resident, occupant, or facility employee contracts a contagious communicable
illness, including influenza, COVID-19, norovirus, or chicken pox. The Company will reschedule
the service without penalty once the premises are safe. Conversely, if an assigned cleaner
displays symptoms of communicable illness, the Company reserves the right to assign an
alternate technician or reschedule the appointment.
3.4 Operational Safety and Safe Environment Mandate
The Company prioritizes staff safety and reserves the right to immediately pull personnel from
any job site determined to be unsafe, hostile, or hazardous. This includes exposure to
uncontained biohazards, aggressive untethered domestic animals, verbal or physical
harassment, or unsafe structural environments. Full service fees remain applicable if withdrawal
is caused by Client-created hazards.
Section 4: Rescheduling, Cancellations, and Service Modifications
4.1 Notice Windows for Schedule Changes
Clients may cancel or reschedule appointments without incurring administrative penalty fees
provided proper notice is submitted within the required timeframe:
● Residential Services: Written or verbal notice must be received at least twenty-four (24)
hours prior to the scheduled start time.
● Commercial Services: Written notice must be received at least forty-eight (48) hours
prior to the scheduled shift.
4.2 Contract Termination Procedures
● At-Will Residential Contracts: Recurring residential cleaning arrangements operate on
an at-will basis and may be terminated by either party upon seven (7) days written notice.
● Term Commercial Contracts: Fixed-term commercial janitorial contracts require thirty
(30) days advance written notice of termination. The Client remains responsible for
settling all balances for services rendered during the 30-day notice period.
Section 5: Satisfaction Guarantee, Damage Claims, and Dispute
Resolution
5.1 Satisfaction Guarantee and Re-Cleaning Protocol
The Company provides a 100% Satisfaction Guarantee on its services. If the Client identifies
specific areas within the agreed scope that were not properly cleaned, the Client must notify
customer service within twenty-four (24) hours of service completion. Upon timely notification
and receipt of supporting photo evidence, the Company will send a technician to re-clean the
reported areas at no additional fee within 2 to 3 business days.
5.2 Exclusions to Guarantee Coverage
The Satisfaction Guarantee does not cover:
1. Dirt or mess created after technician departure by occupants, pets, or third-party
contractors.
2. Pre-existing wear and tear, permanent floor discoloration, or deep grout damage.
3. Specific cleaning tasks excluded at the explicit request of the Client during the
appointment.
4. Claims submitted after the expiration of the 24-hour notification window.
5.3 Property Damage Claims and Inspection Procedures
If the Client alleges property damage caused by Company personnel, formal written notification
detailing the incident and providing clear photographic proof must be submitted within
twenty-four (24) hours of service completion. The Client must preserve the damaged item and
allow the Company or its insurance adjusters physical access to inspect the premises within
forty-eight (48) hours of report receipt prior to executing repairs or replacements.
Section 6: Limitation of Liability, Risk Allocation, and Insurance
6.1 Unsecured Valuables and Pre-Existing Property Damage The Company disclaims
liability for pre-existing damage, architectural wear and tear, unstable art mounts, or improperly
installed fixtures. The Client is required to secure all high-value items, cash, loose jewelry,
confidential corporate records, and delicate collectibles prior to the arrival of cleaning personnel.
6.2 Cap on Direct Monetary Liability
To the fullest extent permitted by applicable New York law, the cumulative liability of the
Company, its owners, officers, and employees for direct damages arising from service
execution, operational negligence, or breach of contract is limited as follows:
6.3 Waiver of Consequential and Indirect Damages
In no event shall the Company be liable to the Client for indirect, incidental, special,
consequential, or punitive damages, including lost business revenues, commercial downtime, or
lost data, regardless of whether the Company was advised of the potential for such loss.
6.4 Property Insurance and Subrogation Rights Waiver
The Client agrees to maintain primary property and casualty insurance covering its real and
personal property. The Client hereby waives all rights of recovery against the Company, its
technicians, and sub-contractors for damages covered by the Client’s insurance policies, and
shall ensure its insurance carrier issues a waiver of subrogation in favor of the Company.
Section 7: Employee Non-Solicitation and Placement Conversion Fees
7.1 Non-Solicitation Covenants
The Client acknowledges that the Company incurs significant administrative expense in
recruiting, vetting, background checking, and training its cleaning workforce. The Client agrees
that during the active service period and for twelve (12) months following contract termination,
the Client shall not, directly or indirectly, solicit, hire, contract with, or engage any employee or
technician introduced to the Client by the Company.
7.2 Placement Conversion Liquidated Damages
If a Client breaches Section 7.1 by directly employing or engaging a Company technician, the
Client shall pay the Company a liquidated placement conversion fee of $4,500.00 or 25% of the
technician's projected annualized earnings, whichever is higher. This fee reimburses the
Company for its recruitment, onboarding, and training investments.
Section 8: Digital Terms, Data Privacy, and Agreement Modifications
8.1 Data Protection and Privacy Assurance
Client contact information, payment records, and property access details are kept confidential
and used solely to facilitate service delivery and billing. Customer information is never sold,
rented, or transferred to unaffiliated third parties.
8.2 Consent for Automated Electronic Communications
By booking services, the Client consents to receive operational electronic communications from
the Company, including service reminders, account notifications, electronic invoices, phone
calls, and automated SMS messages. The Client may opt out of promotional messages at any
time, though operational account notifications will continue.
8.3 Modification of Terms
The Company reserves the right to revise these Terms and Conditions at any time.
Updated terms become effective upon publication to the Company's web portal. Continued
usage of the Company’s cleaning services following published updates constitutes formal
acceptance of the modified Terms.
Section 9: Governing Law and Venue Jurisdiction
9.1 New York Choice of Law
These Master Terms and Conditions, and all legal disputes arising out of or relating to service
engagements, are governed by and construed in accordance with the laws of the State of New
York, without regard to conflict of law principles.
9.2 Exclusive Venue and Severability
Any legal proceedings, small claims filings, or court actions arising under this agreement shall
be brought exclusively in the state courts located within the county where the cleaning service
was performed. If any individual clause within these Terms is found unenforceable by a court of
competent jurisdiction, that specific provision shall be severed or modified, while all remaining
terms retain full legal force.
